The Water Collaborative Part-Time Event Coordinator (Contractor) supports the planning, coordination, and execution of organizational events, including community events, fundraisers, trainings, meetings, and public-facing programs. This role manages event logistics from concept through completion, working closely with staff, vendors, partners, and volunteers to ensure events run smoothly and align with organizational goals.

This is a project-based contractor role with flexible hours, including evenings and weekends around event dates.

Compensation: $25 - $35 an hour based on experience (paid monthly) 

Contract Term: 1099

Hours: Up to 20 hours per week. 

Reports to: Executive Director and/or Operations Manager

Location: On-site (Must live in the Greater New Orleans area or Southeast Louisiana to fill this position)

Timeline: 6-month contract starting on the start date.

The Water Collaborative of Greater New Orleans (TWC) is a regional leader in urban water resource management, climate adaptation strategies, and climate communications. Our mission is to advance community-driven policy solutions to champion water as a human right and reimagine resilience in a water-unstable world. We envision a world where water is a transformative force that bridges communities, restores ecosystems, and empowers future generations. 

The organization emerged from The Greater New Orleans Water Plan, established in 2013 by a cross-national team from New Orleans and the Netherlands. TWC was officially incorporated in 2017. Since that time, our mission has evolved to integrate strategies that drive policies and practices to foster water justice in the region. Today, we create unique and necessary methods to the world's most pressing issue, water, through collaborative, interdisciplinary approaches, and develop multi-objective policies to solve water challenges in and outside of Louisiana. Everyone has a role to play in stormwater management, water justice, and climate adaptation and mitigation. TWC brings together people from all walks of life, with a focus on communities that have historically been marginalized from land-use conversation, and brings them to decision-making tables to create smarter, unique opportunities for collective innovation in service of both flora and fauna and communities across Louisiana and the American South.

  4. Scalable Community Tools & Governance: Tools and models for inclusive, community-led decision making are developed and shared, enabling communities to participate fully and adaptively in shaping water resource governance within their own communities and across the region.


Key Responsibilities:

Event Planning & Coordination

  • Coordinate logistics for events, including venue selection, scheduling, run-of-show, registration, and attendee communications

  • Support event timelines, workplans, and task tracking to ensure deadlines are met

  • Assist with budgeting, expense tracking, and invoice collection related to the event

Vendor & Partner Management

  • Coordinate with vendors (venues, catering, AV, rentals, transportation, etc.)

  • Support contract execution and ensure vendors meet agreed-upon deliverables

  • Liaise with community partners, speakers, sponsors, and collaborators as needed

Event Execution

  • Coordinate with vendors (venues, catering, AV, rentals, transportation, etc.)

  • Support contract execution and ensure vendors meet agreed-upon deliverables

  • Liaise with community partners, speakers, sponsors, and collaborators as needed

Communications & Materials

  • Coordinate event materials such as agendas, signage, presentations, and supplies

  • Support registration platforms, RSVPs, and attendee follow-up communications

  • Work with communications staff to ensure consistent messaging and branding

Post-Event Support

  • Assist with post-event evaluations, attendance tracking, and reporting

  • Support thank-you communications and documentation of lessons learned


Anticipated Tasks and Output Examples: 

  • Work directly with the Executive Director and communications coordinator on event conceptualization, strategy, and execution. 

  • Support the planning, execution, and communication needs of the Brackish artists' collective program. 

  • Communicate regularly with all artists, vendors, transportation service providers, and others before, during, and after weekly events.

  • Must be present in-person for Artist Salons (March 3, 10, 17, 24, 31 (5 pm - 7 pm) 

  • Must be present in-person for Artist Excursions (March 5, 12, 19, 26, and April 2nd. (time varies)

  • Co-write weekly reports for Brackish and the final report. 

  • Support all related event marketing, PR, and other promotional materials 

  • Be Present and set up and break down for podcast filming and recording days. 

  • Co-develop and support event planning for other programs, including One Water Louisiana, the Water Justice Fund, and partner events as they arise. 


Qualifications:

  • 2+ years of experience coordinating events, preferably in nonprofit, community, or mission-driven settings.

  • Strong organizational and project management skills with attention to detail

  • Excellent communication and interpersonal skills

  • Ability to manage multiple tasks and shift priorities independently

  • Comfortable working with vendors, community members, and diverse stakeholders
    Proficiency with common tools (Google Workspace, Eventbrite, Canva), and capable of learning newer tools. 

  • Some experience in marketing and PR, especially on social media, is helpful, 


Performance Review & Reporting:

  • A Performance Review will be conducted every 30 days. The performance review will include interviews with staff members and a review of deliverables and outputs. 

  • Hours tracked in Gusto, with a monthly review of all outputs and expected deliverables.

  3. 3-5 Work Samples or case studies provided for event management coordination. 

  4. Second interview with the Executive Director and TWC staff.

  5. Reference and Background Checks.
